Privacy notice
Last updated October 15, 2026
This notice covers the Mobilize Cloud client portal at clients.mobilizecloud.com. The portal is run by Mobilize Cloud, Dublin, Ohio, for its clients. It explains what we keep about you, why, and what you can ask us to do.
What we keep
- Your account: name, email address, job title, which clients and brands you can see, your email settings, and a securely hashed password (we can't read your password).
- What you add: files you upload, comments and screenshots on tasks, and requests you send us.
- Records about your business: monthly reports, invoices and project tasks we share with you.
- Activity: when you sign in, and a log of important actions (such as files uploaded or downloaded, and password changes) so we can keep the portal secure and answer questions about what happened.
- Technical data: standard web server logs and error reports (IP address, browser, pages requested, errors). We use these only to keep the portal running and secure.
Why we use it
To provide the portal to you and your organization: to show you your reports, invoices, files and projects, to email you about them, and to keep accounts secure. We don't sell your information or use it for advertising, and the portal has no advertising or tracking cookies.
Cookies
The portal uses only the cookies it needs to work: one to keep you signed in, and one to protect forms from forgery. You can't turn these off and still use the portal.
Who else handles it
We use a few service providers to run the portal, each only for that purpose:
- Microsoft Azure (United States) hosts the portal, its database and stored files, and its error monitoring.
- SendGrid (Twilio) delivers the portal's emails.
- Twilio delivers text message alerts to people who turn them on.
- Harvest issues our invoices; invoice links open there.
Other people in your organization who have access to the same client or brand can see files, comments and tasks shared there. We may also disclose information if the law requires it.
Text messages
Text alerts are only sent to people who add their own mobile number and turn texts on in their account settings. They're website status alerts, never marketing. Message frequency varies; message and data rates may apply. Reply STOP to stop texts at any time, or HELP for help, or turn texts off in your account settings. We don't sell or share mobile numbers or text opt-in consent with anyone for their marketing; Twilio receives your number only to deliver our alerts.
How long we keep it
We keep your account while you have access. If your access is removed, we deactivate your account and can delete it on request. Reports, invoices, files and project records belong to the client's account and are kept for as long as we work together, and afterward for as long as we need them for our records or as the law requires. Backups are overwritten on a rolling schedule.
Keeping it safe
Everything is sent over HTTPS and stored encrypted. Each person only sees the clients and brands they've been given access to. Repeated wrong passwords lock an account for a short time.
Your choices
You can change which emails you get, and your password, in Email settings after you sign in. To see, correct or delete what we hold about you, email rob@mobilizecloud.com. If you're a contact at one of our clients, we may check with that client before deleting records that belong to its account.
Changes and contact
If we change this notice, we'll update the date above. Questions: rob@mobilizecloud.com.
